Offer description

* Provide a high level of administrative assistance to the business and assist team members in implementing projects and activities;
* Support team members by providing administrative support, including;
o Inbound and outbound calls to clients;
o Photocopying and printing;
o Organising equipment;
o Managing the mail;
o Managing EST inbox;
o Filing and document management
* Prepare agendas and take accurate minutes of meetings when required;
* Coordinate meetings for the business unit including, creating Zoom/Microsoft team for virtual meetings, booking of meeting rooms, organization of catering, and preparation of meeting materials;
* Maintain accurate and efficient information storage and filing systems for the team;
* Liaise with internal and external stakeholders in a prompt, courteous and effective manner, ensuring a high level of customer service is provided;
* Assist the EST program by;
o Outbound calls to participants to commence within the first 3 days of EST;
o Managing various databases such as online attendance, current activities, EST Sharepoint etc.
o Contacting participants (via phone, emails and SMS) to attend training and following up non- attendance;
o Advising/sending attendance reports to providers;
o Assisting in scheduling and preparation of resources;
o Assist in carrying out inductions for trainers;
o Prepare and manage the distribution of resources;
o Assist in the scheduling of trainers;
o Generating EST reports

Selection Criteria:

* Proficiency in the use of Microsoft Office products, in particular Word, Excel, PowerPoint and Outlook, with accurate word processing and data entry skills;
* Experience working with PowerBI Reporting program;
* Sound knowledge of administrative systems and procedures, and proficiency with office technology;
* Highly developed written communications skills with the ability to maintain strong attention to detail and take pride in the quality of work produced;
* Effective verbal communication and interpersonal skills, with the ability to liaise with people at all levels in an informative, accurate and positive manner;
* Ability to prioritise, organise and complete work within established deadlines, and to maintain a consistent level of professionalism;
* An ability to work effectively within a busy team environment, and also to work unsupervised;
* Strong client focus and genuine desire to assist team members;
* A proactive approach to resolving queries and problems;
* A can-do attitude, flexible and mature approach to work tasks, and a willingness to learn.

Qualifications

* Previous experience in a similar role;
* Experience working in a professional environment;
* Certificate in business/office administration (highly regarded)
