Women in Digital is one of Australia's largest and most active communities for women working in digital and technology. We connect, educate, and empower women and allies across the digital economy through events, research, and membership programs.
We're looking for an Events and Membership Manager who gets things done. This is a delivery role in which you will own the operational end of our events program and membership experience from end to end, coordinating logistics, supporting and owning relationships, and making sure every touchpoint reflects the quality our community expects.
What you'll own:
Events
* End-to-end coordination of WID events across formats: signature events, panels, fireside chats, networking events, webinars, and the annual WIDAwards gala
* Building and maintaining an event calendar across the full WID program
* Venue sourcing, supplier management, run sheets, AV briefings, and on-the-day delivery
* Eventbrite setup, registration management, and attendee communications
* Speaker and volunteer coordination, including scheduling, speaker communication, briefing documents and day-of logistics
* Managing event budgets and reconciling post-event expenditure
* Photography and content capture coordination on the day (briefing photographers where applicable, and ensuring coverage for social and comms use)
* Post-event wrap-up: feedback collation, attendance reporting, and debrief notes
Membership
* Supporting membership renewals, campaigns, and retention activity
* Onboarding new members and responding to member enquiries
* Supporting the effective management of the WID Database
* Managing the full member lifecycle in HubSpot, including data integrity and segmentation
* Tracking membership data and producing regular reports on growth and engagement
* Coordinating member benefits delivery across partners and programs
* Supporting the delivery of member-exclusive benefits such as event access, program enrolments, and partner offers
General Operations
* Maintaining shared team resources such as run sheet templates, briefing documents, and contact lists
* Supporting reporting cadences with data pulls and summaries for the wider team
* Flagging process gaps and suggesting improvements as the business grows
What we're looking for
You're someone who takes pride in the detail. You're an outcome focused person who doesn't wait to be told what needs doing; you can see what's coming and get ahead of it. You're comfortable managing multiple workstreams at once, communicating clearly with speakers, sponsors, and community members, and staying calm when things shift last minute.
Specifically, you'll bring:
* 3+ years in an events coordination or membership operations role
* Strong organisational skills and a reliable, structured approach to task management
* Digital proficiency. We need someone experienced with the tools and platforms we use, which includes Claude, Hubspot, Asana, Slack & Google Suite, Teams, Webex, Eventbrite and more
* Clear, professional communication, including member emails and event copy
* Comfort working in a small, fast-moving team where initiative and problem solving is the baseline
* Genuine passion for gender equity and the tech industry
* Experience and comfort working remotely
* Proficiency in applying AI tools (such as Claude / ChatGPT) in your work
