About the Role
As the first point of contact for our practice, the Front Office Coordinator plays a vital role in shaping the patient experience and supporting the growth of the business.
You will manage inbound phone calls, emails, and online enquiries, confidently guiding potential patients through our services and booking them into suitable appointments. While dental experience is an advantage, it is not essential — full training will be provided.
You will also support day-to-day front office operations, working closely with our clinical and administrative teams to ensure smooth workflows and a high standard of patient care.
Key Responsibilities
* Managing inbound patient enquiries via phone, email, and website
* Converting enquiries into booked appointments
* Building rapport and clearly explaining services in a professional, friendly manner
* Scheduling and confirming appointments efficiently
* Processing payments (cash, EFTPOS, HICAPS)
* Maintaining a clean, organised front office and waiting area
* Coordinating patient flow and supporting clinicians as required
* Providing general administrative support to the practice
About You
This role would suit someone from a call centre, sales, hospitality, retail, or customer service background who enjoys achieving results through strong communication.
Ideally, you will:
* Be confident communicating with people both over the phone and in person
* Have strong customer service and communication skills (written and verbal)
* Have sales, bookings, or conversion experience (highly regarded)
* Be comfortable working toward booking outcomes and daily priorities
* Be organised, reliable, and able to multitask in a busy environment
* Have basic computer skills and the ability to learn practice management systems
* Present professionally and maintain a positive, solutions-focused attitude
Dental or healthcare experience is welcomed but not required
