This role is responsible for managing complex diaries, coordinating travel and meetings, and preparing executive-level documents and communications.Acting as a key point of contact, the EA ensures smooth day-to-day operations, maintains confidentiality, and supports the delivery of strategic priorities across both portfolios. Success in this role requires strong attention to detail, sound judgment, and the ability to manage competing demands in a dynamic environment.Accountabilities (but not limited to):Provide high-level, confidential administrative and executive support to the VPsManage complex calendars, travel arrangements, conference bookings, and accommodationPrepare detailed travel itineraries, agendas, briefing materials, and background research for meetingsDraft and edit reports, presentations, speeches, submissions, and other professional correspondenceContinuously improve administrative systems and processes to enhance efficiency and accuracyLiaise professionally with the TGE Executive Team, internal stakeholders, and external representatives, including dignitariesCoordinate national meetings, events, and teleconferences, including logistics, minutes, and action trackingRecord, transcribe, and distribute accurate minutes and meeting outcomesWho you are:Post graduate qualifications in a relevant discipline is preferredSignificant previous experience supporting a Senior ExecutiveExtensive diary management and full itinerary travel scheduling experienceExperience in implementing and maintaining document management and control systemsDemonstrated experience in the preparation of agendas and minutesAdvanced MS Office program skills including Word, Excel, PowerPoint and OutlookExceptional organisational skills and commitment to detailHighly developed time and project management skills and demonstrated ability to meet deadlines and to effectively manage multiple projects including the organisation of events and functionsStrong verbal communication, interpersonal and public relations skills to enable professional interaction with a range of people and cultures including senior management and other staff, the public, dignitaries and representatives from other organisations in the AMEA RegionYou can view the full job description here.This a Permanent Full-Time position based at our Surry Hills campus in Sydney.Bold, modern and agile, we’re Australia’s fastest-growing university, going from 164 students in 2014 to 40,000+ alumni across 115+ countries and 2000+ staff today.
