Office Administrator & Marketing Coordinator

About Us
Butterken Bakery is an artisan German-inspired bakery committed to health, quality, sustainability, and creating shared experiences for our community. We handcraft breads, pastries, and pretzels using locally sourced ingredients, and we’re passionate about both tradition and innovation.

We are seeking a highly organised and creative individual to join our team as an Office Administrator & Marketing Coordinator. This is a dynamic role combining behind-the-scenes administration with engaging, customer-focused marketing activities.

Key Responsibilities

Administration

* Manage emails, phone calls, and general correspondence

* Assist with data analysis and sales trends

* Assist with HR tasks such as hiring portal management, screening, onboarding administration, staff scheduling, and maintaining employee records

* Prepare invoices, process payments, and liaise with suppliers and wholesale customers

* Organise meetings, take minutes, and manage calendars

* Assist with stock ordering and inventory tracking

Marketing

* Plan, create, and schedule engaging content for social media, website, and email newsletters

* Support seasonal campaigns and promotions (e.g. Oktoberfest, Christmas, Easter and local events)

* Maintain product photography library, create signage, and in-store promotional materials

* Coordinate with suppliers and community partners for cross-promotions

* Monitor marketing analytics and adjust strategies to improve reach and engagement

* Ensure brand consistency across all channels

Skills & Experience
* Minimum 2–3 years proven experience in administration and/or marketing roles

* Strong written and verbal communication skills

* Excellent organisational skills with a keen eye for detail

* Confident using Microsoft Office, Google Workspace, and social media platforms

* Experience with Squarespace website management (preferred)

* Experience in the hospitality industry (preferred)

* Experience with task management tool such as Asana (advantage)

* Basic knowledge of Canva, Adobe Suite, or similar design tools

* Ability to manage multiple priorities in a fast-paced environment

* Interest in food and hospitality with a love for great quality food is a must!
