Period of Appointment Fixed term until May 2028 Hours per fortnight 73.50 hours per fortnight - flexible options available. Duties Prepare, format and review project documentation (plans, reports and registers) for completeness and compliance with Departmental frameworks, templates and guidelines. Support ministerial and executive processes by collating inputs and drafting correspondence, briefings and submissions in accordance with established procedures and general direction provided by the Director, Strategic Infrastructure Projects. Coordinate meetings, prepare agendas and minutes, and track actions for project governance forums. Liaise with internal stakeholders to gather information and resolve minor issues within established processes. Monitor document workflows and provide status updates to the Director, Strategic Infrastructure Projects. Maintain accurate records, registers, and version control for project documentation. Administer and maintain a robust and compliant records management system for the Unit, ensuring accurate classification, storage, and retrieval of information using Content Manager. Use Finance One to process financial transactions for the Unit, including creating requisitions and purchase orders, receipting goods and services, and conducting enquiries. Provide administrative and first-level support for the Department’s Asset Management Information System(s) (such as Assetic), including troubleshooting user issues, managing access and permissions, and coordinating with the Asset Management team to resolve complex problems. Undertake other duties as required, in accordance with the classification.
