About The Role
Help at Hand Support Services is a growing Melbourne-based NDIS provider looking for a motivated Coordination Admin Officer to be an essential part of our coordination team. This is a first‐point‐of‐contact role focused on client intake, admin support, and coordination assistance — with a clear, structured pathway to a full Care Coordinator position within 12‐18 months.
We're not holding out for someone who already has all the experience — we're looking for someone with the right foundation, the right attitude, and the drive to grow. If you have a background in disability, aged care, community services, or health administration and you're ready for the next step, this is the opportunity to take it.
Key Responsibilities
* Manage new client enquiries via phone, email, and referrals
* Conduct intake assessments and gather required participant information
* Coordinate onboarding processes, including service agreements and documentation
* Maintain accurate client records in line with NDIS compliance requirements
* Liaise with participants, families, support coordinators, and internal staff
* Assist with rostering of support workers across allocated participants
* Attend plan reviews and team meetings to build coordination knowledge
* Gradually take on coordination responsibilities as confidence and competence grows
About You
* Previous experience in administration, intake, or customer service — NDIS or healthcare preferred but not mandatory
* Knowledge of the NDIS framework and processes (desirable)
* Strong organisational skills with the ability to manage multiple tasks and prioritise effectively
* Excellent communication and interpersonal skills
* High attention to detail and a person‐centred approach
* Proficiency in Microsoft Office and client management systems
* Someone who takes initiative and doesn't wait to be told what to do next
* Willingness to learn — NDIS knowledge can be taught; the right attitude cannot
* Certificate IV in Community Services, Social Work, or similar is advantageous but not essential
Requirements
* NDIS Worker Screening Check (or willingness to obtain)
* Working with Children Check (or willingness to obtain)
* Current Police Check
* Full working rights in Australia
* Driver's licence preferred
* Based in Melbourne or able to commute to Bundoora
