The successful candidate will be responsible for coordinating and delivering exceptional customer experiences across our bus sector, ensuring seamless operational processes and maintaining high levels of customer satisfaction. Key accountabilities include managing vehicle stock allocation, coordinating new vehicle deliveries, liaising with aftersales and sales teams, and maintaining accurate documentation and system entries in Pentana.
This role requires strong communication and interpersonal skills, as well as the ability to work collaboratively with internal and external stakeholders to achieve shared goals. The ideal candidate will be a self-motivated and proactive individual who is passionate about delivering exceptional service and results.
Key Responsibilities:
* Vehicle Coordination: Manage vehicle stock allocation, delivery scheduling, and customer collection logistics in collaboration with the Stock Controller, workshop, and Account Managers.
* Repair Order Management: Create, reconcile, and integrate Repair Orders (ROs), ensuring accurate cost capture and contract flow between stakeholders.
* System Data Entry: Input new and used vehicles into Pentana, maintain estimated delivery dates, and ensure registration documentation is complete and accurate.
* Reporting: Prepare and distribute express sales reports, weekly order tracking, monthly sales reports, and logbook records.
* Stakeholder Communication: Keep Account Managers updated on order progress and forward leads as required.
* Demonstrator & Trial Program: Coordinate trial vehicle scheduling, maintain calendars, and provide trial data to customers upon completion.
* HUBSpot Management: Cleanse data, run integrity checks, manage distribution lists for eDMs, and develop the database for customer segmentation analysis.
* System Integrity: Conduct regular checks in Pentana and HUBSpot to ensure data accuracy and respond to any issues identified.
* Registration & Cost Maintenance: Maintain state-specific registration and options costs in Pentana to support accurate quoting and compliance.
* Team Support: Provide backup support to the Stock Controller and contribute to broader team initiatives and continuous improvement.
