Classification: EL1 Location: Canberra - ACT, Sydney - NSW Salary: $117,381 - $131,786 THE ROLE: Austrade seeks a dynamic and professional EL1 Executive Assistant to support Austrade’s Chief Executive Officer (CEO). The Executive Assistant will work closely and collaboratively with the CEO, their Executive Officer, and broader Austrade senior leadership team (and their respective support teams), to ensure the efficient and effective operation of the CEO office. The successful candidate will be required to undertake work that is complex in nature, exercise a high degree of initiative and judgement, and have proven ability to proactively triage and action/coordinate multiple competing priorities. Superior attention to detail is required. The successful candidate will possess excellent communication and interpersonal skills, including the ability to build rapport and collaborate effectively with internal and external stakeholders. As the most senior Executive Assistant in Austrade, the Executive Assistant to the CEO plays an important leadership role in the fostering engagement across Austrade’s Executive Assistant cohort and building an effective community of practice. The successful candidate will also be required to support the Executive Officer on a range of research tasks, and this will be an important aspect of the role. During peak periods, additional hours or working outside of standard hours may be required. DUTIES INCLUDE: Providing effective leadership and guidance to Austrade’s Executive Assistant cohort, including through the development of a community of practice. Undertaking research work in close collaboration with the Executive Officer. Diary management and associated meeting arrangements for the CEO, including the commissioning of briefings where required. Managing and establishing strong stakeholder relationships both internal and external to the organisation. Providing quality assurance across administrative approvals, ensuring adherence to corporate policies and reinforcing a culture of compliance within the agency. Managing travel bookings including approvals, itineraries, visas, transport, accommodation, and reconciliations. Managing incoming correspondence and ensuring this is actioned in a timely manner. Liaising effectively with a range of internal and external stakeholders, exercising judgement and professionalism to build productive working relationships. Proactively ensuring the CEO is equipped with relevant briefings ahead of engagements. Managing sensitive information with utmost discretion at all times. Performing 'front of office' support functions, including meeting room set up and greeting visitors. Working independently with minimal supervision, including remote support as required (e.g. while the CEO is travelling).
