The role

Overview

The Business Support Officer will support the Operational Leadership and Capability Team and the Classification and Placement Unit, delivering high‐quality administrative, coordination and logistical services that underpin the teams' day‐to‐day functions. The role is full‐time, fixed‐term, primarily based at the Parkville Youth Justice Precinct with approximately two days per week supporting the Classification and Placement Unit and three days per week supporting the Operational Leadership and Capability team, with flexibility to work across precincts.

Key Responsibilities

  • Play a key role in supporting the effectiveness and efficiency of the Operational Leadership and Capability Team and Classification and Placement Unit.
  • Provide administrative, analytical and operational support.
  • Assist with project management, coordinating tasks and tracking progress.
  • Support the planning, implementation and evaluation of staff development programs and operational capability initiatives aimed at building a skilled, responsive and professional custodial workforce.
  • Provide high‐level administrative support, including meeting coordination, agenda and minute preparation, correspondence management and record keeping.
  • Support the planning and delivery of training, professional development and capability‐building initiatives for custodial staff.
  • Assist with preparing reports, briefing notes, presentations and documentation for internal and external stakeholders.
  • Maintain and update databases and registers related to staff coaching and Higher Duties Assignment (HDA) processes.
  • Identify improvements and contribute to developing new systems and processes in collaboration with relevant subject‐matter experts across the department.
  • Support project coordination through planning, logistics and tracking of deliverables.
  • Assist with procurement and financial administration tasks as needed.
  • Contribute actively to customer‐service support for internal managers and staff.
  • Travel between precincts and external training venues is required.

Qualifications and Requirements

  • Experience in providing confidential, personal and administrative support functions including database management and Microsoft Office applications.
  • Experience supporting training or learning and development programs, and/or working in government is desirable.
  • Current full driver's licence (required for travel).
  • Must obtain and maintain a Working with Children Check during employment.
