As a key member of our team, the Workplace Coordinator plays a pivotal role in delivering exceptional client experiences and on-site workplace services.
This dynamic role requires someone who can build strong relationships with stakeholders, respond to feedback, and assist in coordinating office premises.
* Deliver key on-site administration services for offices across AU & NZ.
* Develop strong connections with stakeholders, engage with feedback, and coordinate office logistics.
* Set up meeting rooms, arrange furniture, audiovisual equipment, and prepare materials.
* Organize catering services for meetings, events, and workplace functions.
* Liaise with IT to coordinate technical support for meetings.
* Process mail receipt, identification, processing, and distribution.
* Drive digital influence by scanning incoming mail/cheques to a digital mailbox and maximizing digital correspondence distribution.
* Conduct regular floor walks to ensure workspaces are operational and meet workplace standards.
* Securely destroy scanned correspondence and store according to record management regulations.
* Arrange courier services for outgoing mail and packages.
* Redirect PO box correspondence to the appropriate centers.
* Handle legal documents carefully, ensuring proper filing and routing.
* Track and investigate lost items, coordinating with carriers as needed.
* Support other functions as necessary.
