* About the Role
As Coordinator, Exam and Timetabling Services, you will provide functional leadership and act as the key liaison for academic and professional staff to facilitate smooth program operations and provide effective support to students.
Key responsibilities will include:
* Lead the end‑to‑end examinations portfolio and PTE Test Centre operations, including logistics, storage, and overall exam management. Manage the exam invigilator workforce, overseeing recruitment, training, rostering, performance, and capability development to ensure compliant and efficient exam delivery. Oversee alternative exam arrangements for students with approved adjustments.
* Lead the production and publication of class timetables and ensure alignment with academic requirements. Maintain system integrity by monitoring exam scheduling and timetabling systems, ensuring data accuracy and coordinating system or process updates. Oversee student class allocations and manage complex enrolment or allocation exceptions.
* Serve as the primary contact for stakeholders regarding examinations, timetables, course scheduling, and teaching space requirements. Manage room bookings in collaboration with Academic Services and Operations, ensuring alignment with broader space‑use needs. Partner with Projects, Data and Systems to support analytics and reporting on space utilisation.
* Drive continuous improvement by reviewing processes, coordinating incident reporting, analysing trends, and implementing enhancements. Undertake duties as directed by the Senior Manager, Academic Administration and Compliance, and act as delegate during peak exam and timetabling periods.

We’re seeking a detail-oriented and proactive professional to join our Academic Administration team as Senior Officer, Exam and Timetabling Services. In this role, you’ll ensure the smooth coordination of examinations and timetables for all programs, supporting a first-class student experience.
What we're looking for:
Essential:
* Undergraduate degree with at least 4 years subsequent experience or equivalent combination of experience, training and/or education at a level consistent with senior operational responsibility.
* Experience in academic administration, including exams and timetabling.
* Proven ability to supervise staff in a fast-paced environment.
* Strong digital skills and experience with enterprise systems.
* Excellent communication and organisational skills with attention to detail.
* Strong organisational, planning and coordination skills, with the ability to manage competing priorities and meet deadlines.
* Strong attention to detail and a high level of accuracy in interpreting and applying policies and procedures.
Desirable:
* Knowledge of ESOS legislation and experience supporting international students.
