Eighth Degree Homes is a high-end residential building company based on the Mornington Peninsula, specialising in architectural new builds, extensions, and renovations. We pride ourselves on quality workmanship, clean communication, and a smooth experience for our clients.
We're now looking for a capable, reliable, and well-spoken Construction Administrator to support both our backend operations and client-facing communication. This is an in-office, part-time role (10–15 hours/week) with flexible working hours and the potential to grow.
Your Role
You'll work directly with the director and broader project team to keep our admin running smoothly and our clients informed. From organising documents and chasing subcontractors, to sending polished emails or answering client calls — your role is to bring structure, support, and service across the business.
You'll also help improve how we do things — building templates, checklists, and systems so the business can scale cleanly.
Key Responsibilities
• Onboard new subcontractors and track compliance documents (SWMS, insurances, licences)
• Maintain clean, organised job folders in OneDrive
• Support job setup and tracking in Buildxact
• Assist with issuing and managing POs
• Check supplier invoices against jobs and POs
• Make basic client or trade calls to follow up or confirm details
• Send client-facing emails with correct tone and formatting
• Create and refine internal checklists, templates, and SOPs
• General admin, document filing, and follow-up tasks
What We're Looking For
• 2+ years admin, construction admin, or client service experience
• Strong written and verbal communication (you'll represent the business)
• Confident with basic phone calls and email correspondence
• High attention to detail and excellent organisation
• Comfortable using (or learning): Buildxact, Xero, HubSpot, OneDrive, Outlook
• A self-starter — proactive, positive, and able to see what needs doing
Bonus If You Have
• Experience working with a residential builder or trades-based company
• Familiarity with Buildxact, Xero, or similar platforms
• Document control or compliance admin background
