Our client has been supporting leading Australian research universities, influencing and informing higher education policy and research for over 25 years.
The Opportunity
Due to upcoming research work, supporting a highly topical and crucial government initiative, they are looking for an experienced and professional executive support officer to join their small team.
The role will be offered as a temporary contract through to the 30th June 2026, part-time (3 days per week) and office based. The role could be considered as full-time for a highly experienced administrator, should you be able to demonstrate your ability to work effectively with minimal support, exercising a very high level of initiative and competency.
The Role
This role is to support a crucial piece of work and requires you to 'roll your sleeves up' and help as required. Duties will be varied, but will include:
* Reception duties, managing incoming and outgoing mail, maintaining stationery and office supplies
* Setting up the meeting room, catering, video and teleconferencing and assisting in the co-ordination of board and other meetings as required
* Accounts payable support with expensing credit card reconciliations
* Information management, reviewing, inputting and proactively updating the workflow management and CRM systems and inputting the team's workplan outputs as required
* Assisting senior staff with administrative and research tasks including the collation of data
* Incoming mail management and picking up the mail from the post box as required
The Ideal Person
You will be an experienced EA, or corporate administrator and be able to work independently with very minimal guidance and supervision. Initiative and being proactive are critical for this small team as they navigate a key piece of work that will significantly increase the team's workload. You will have:
* Exceptional attention to detail
* Proven administrative and organisational skills – you must be MS Office proficient
* Excellent communication and relationship building skills with demonstrated experience liaising with a wide range of high-level stakeholders
* Extensive experience in high level meeting, travel and event management functions including the ability to initiate, determine and follow-up work priorities within tight deadlines
* Demonstrated ability to manage competing demands in an organised and proactive manner
* Demonstrated ability to work effectively both independently as well as cooperatively as part of a team
Salary / Rate
* $50/hr - $60/hr + Super
* Canberra, office-based role
* 3 days per week, school hours or full-time could be negotiated for the right person
