Overview
VenuesLive WA, proud operator of Optus Stadium, is seeking an enthusiastic and customer-focused professional to join our Meetings and Special Events (MASE) team as a MASE Sales & Events Coordinator on a 12-month contract. Reporting directly to the MASE Manager, you'll be part of a dynamic and high-performing team within the Food & Beverage department.
This role exists to guide clients through a smooth and engaging event-planning journey, overseeing a varied calendar of events delivered year-round by the MASE team. Success relies on building trusted relationships with internal partners and external suppliers to bring each client's vision to life. The position calls for strong attention to detail, clear communication, the ability to juggle multiple priorities, and enthusiasm for event scripting and administrative tasks. This is a unique opportunity to play a vital behind-the-scenes role in the fast-moving world of sport and entertainment — all from inside Australia's premier venue.
Your focus will be:
* Coordinate end-to-end event planning, including Event Orders, scripts, floorplans, briefing documents, contractor liaison, and weekly reporting.
* Conduct venue site inspections and support future business opportunities.
* Prepare quotes, contracts, and invoices, ensuring accurate financials and timely payments.
* Build strong client relationships, manage expectations, and deliver high-quality service.
* Support post-event follow-up, resolve issues, and encourage repeat business.
* Identify and report customer service improvements across products, services, systems, and facilities.
* Maintain accurate event data and reporting within Momentus / Ungerboeck and other systems.
* Coordinate repeat events from contract through to execution, including smooth handover to operations and after-hours support when required.
* Participate in weekly sales, coordination, and operational meetings, and complete general administration.
* Represent the MASE team at networking events and internal planning/overlay meetings.
Qualifications
* Full and unrestricted working rights in Australia (no limitations on hours or restrictions working for the same employer).
* 3 years' experience in a similar hospitality sales or events coordination role (essential).
* Tertiary qualification in Event Management or Hospitality Management (desirable).
* Strong proficiency in Microsoft Office suite.
* Excellent written and verbal communication with the ability to build rapport quickly.
* Highly organised, results-driven, and confident working under pressure and to tight deadlines.
* Strong attention to detail with the ability to manage multiple priorities at once.
* Fans First approach with a passion for delivering exceptional event experiences.
* Experience using Momentus / Ungerboeck is advantageous.
Working hours: While standard hours are 8:30am to 5:00pm, the nature of the events industry requires working outside these hours, especially during events at Optus Stadium and Stadium Park.
