Overview
First Nations Foundation is an Indigenous-led not-for-profit organisation focused on improving financial wellbeing and economic outcomes for First Nations peoples. The Foundation is entering an exciting stage of growth with an executive leadership team driving impact across education, corporate advisory, and policy agendas.
Position — Executive Assistant (one-year contract with strong potential to transition to permanent) reporting to the Executive Leadership Team (ELT) which includes the Managing Director, Chief Operating Officer, and General Manager – Economic Policy, Research & Government Relations.
Responsibilities
- Executive Support
- Manage complex and changing diaries and provide proactive inbox management for three senior executives, ensuring alignment of priorities and efficient use of time.
- Coordinate and prepare executive meetings, including scheduling, agendas, briefings, minute-taking, and follow-up actions.
- Manage correspondence, draft communications, and liaise with internal and external stakeholders on behalf of the ELT.
- Support preparation of reports, board papers, staff communications, and presentations.
- Stakeholder Engagement & Coordination
- Act as the first point of contact for the ELT, representing FNF with professionalism and discretion.
- Build relationships with board members, senior corporate partners, government officials, and community leaders.
- Coordinate executive participation in external meetings, events, and speaking engagements, ensuring appropriate preparation and representation of associated fees.
- Governance & Operations
- Support the COO with governance and compliance requirements, including board administration and risk management processes.
- Manage confidential information with integrity, ensuring privacy and discretion at all times.
- Support project coordination and cross-team communication, ensuring deadlines are tracked and met.
- Administrative Support
- Oversee travel arrangements, itineraries, and expenses for the ELT.
- Maintain document management systems and filing for executive and governance records.
- Provide general administrative support to the wider organisation as needed, contributing to a high-performing and values-driven team culture.
- Work Health & Safety
- Ensure reasonable care for your own safety and that of the environment you are working in, including taking care of other workers who may be affected by your acts or omissions at any workplace.
- Workplace Safety Check: if working from home, complete the safety check to ensure a safe and efficient workspace with safe egress and hazards-free environment.
Requirements
- Minimum 5 years’ experience as an Executive Assistant or similar role, supporting C-suite executives in a corporate or large not-for-profit environment.
- Exceptional organisational skills, with the ability to manage multiple executives and competing priorities in a fast-paced environment.
- Ability to anticipate the needs of executives and act as a trusted advisor and problem-solver.
- Emotional intelligence, solid judgement, and a warm yet professional communication style.
- High-level written and verbal communication, with experience drafting executive-level correspondence and documents.
- Strong interpersonal skills, able to build rapport and manage relationships with diverse stakeholders, including senior leaders, community members, and government.
- Proficiency in Microsoft 365 Suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint), as well as Canva, Humanitix, Asana, Survey Monkey and LinkedIn.
- Previous experience supporting a board and/or governance processes.
- Demonstrated ability to maintain confidentiality, discretion, and professional judgment.
- Extensive experience coordinating meetings, travel, and events for executives.
- Understanding of and commitment to First Nations culture and communities.
- Experience working in the not-for-profit or social impact sector.
Other Details
- Location/Work Arrangements: 100% remote/work from home role, with the ability to work from anywhere across the east coast of Australia.
Travel: Willingness and flexibility for occasional travel (up to 1 week at a time, a few times per year, occasionally on weekends).
- Contract — Fixed term contract until September 2026.
