Allied Health Assistant / Administrative Assistant


Location: Beenleigh, QLD (close to public transport)

Hours: Part-time (approx. 3–4 days/week, flexible)

Salary: $29–$36/hr + super (negotiable based on experience)

About the Role


This dual role combines Allied Health Assistant (AHA) and Administrative Support responsibilities.

You'll work closely with our OTs and Clinical Director to deliver high-quality client experiences — from assisting in therapy sessions to coordinating bookings and keeping our clinic running smoothly.

The role is roughly 50% clinical / 50% administrative, with flexibility depending on your skills and interests.


Allied Health Assistant Duties

* Plan and independently run group therapy sessions under clinical supervision
* Support and facilitate 1:1 therapy sessions as directed by clinicians
* Prepare and maintain therapy materials and visual supports
* Complete intake calls, triage enquiries, and liaise with clients and the clinical team about bookings and waitlists
* Follow up with GPs and referrers regarding client documentation and shared care
* Assist with the setup of workshops and events (e.g., Lunch & Learn sessions)
* Help maintain therapy spaces, resources, and sensory environments
* Participate in and support clinical and community projects as part of our social enterprise


Administrative Duties

* Manage appointment bookings, client communication, and correspondence
* Support clinicians with maintaining accurate digital records
* Assist with invoicing, payment reconciliation, and payroll preparation
* Provide organisational and administrative support to the Director to ensure smooth clinical and administrative operations
* Oversee daily office operations, including marketing and social media updates, diary scheduling, meeting arrangements, and client arrivals


About You


You'll thrive in this role if you are:

* A warm and professional communicator who enjoys problem-solving and teamwork
* Tech-savvy (comfortable with Microsoft Office, Splose, Canva, etc.)
* Passionate about neurodiversity-affirming, trauma-informed, and LGBTQIA+ inclusive care
* Able to work independently while contributing positively to a supportive team culture
* Happy to work alongside therapy dogs — they're a beloved part of our team



Qualifications & Requirements


Essential:

* Certificate III/IV in Allied Health Assistance or equivalent experience
* Blue Card (Working with Children) & NDIS Worker Screening
* Basic administrative and computer skills
* Ability to work independently under clinical supervision

Desirable:

* Experience in allied health, education, or community services
* Familiarity with Australian health funding systems
* Understanding of Splose or similar practice management software
* Experience in previous administration roles
