ABOUT THE ROLE
This is a maternity leave position from April 2026 to December 2026. The role will be four days per week during the maternity leave period and will be reviewed if/when an ongoing role is considered.
Following the maternity leave, we hope to make the position ongoing if it is suitable for both the business and the candidate. It may also transition to approximately a three-day role or be shared, depending on circumstances. We would like flexibility in the exact days and time frames, depending on the return-to-work schedule and ongoing office work and demands.
As the Office Support Coordinator, you will be the first point of contact for the business—the welcoming voice and face that clients and visitors interact with. This key role provides vital support to existing teams and individuals to ensure the smooth daily operations of the business.
KEY RESPONSIBILITIES
· Front-of-House Management – With a strong sales focus to serve as the first point of contact for all incoming calls and visitors, creating a warm and professional experience.
· Scheduling & Calendar Coordination – Arrange appointments for designers using a shared calendar system.
· Administrative Support – Assist various teams, including Garden Care, Design, and Construction, with daily invoicing and administrative needs.
· Financial Management & Reporting – Support financial tracking, reporting, and supplier management.
· Website & Social Media – Help and support, and manage the ORL website and social media platforms
· Operational System Management – Help maintain and improve the business's operating system for managing job quotes and workflow.
· Process Improvement – Develop new systems to enhance efficiency and create seamless transitions between business needs and employee skill sets.
· Executive Support – Provide administrative assistance to business owners and key personnel, including email management.
