Your role at St John of God Midland Hospital St John of God Midland Hospital are seeking a motivated and professional Administration Assistant to become an integral part of our hospital team. In this key front-line role, you will provide a warm and efficient reception service, along with comprehensive admission and clerical support to patients, caregivers, and healthcare staff. The Position Answer telephone and desk enquiries using a pleasant, courteous and professional approach, and assist where possible or refer the enquirer to the appropriate caregiver. Welcome patients on admission and provide room orientation as appropriate. Complete all relevant admitting and discharge procedures (including boarders) and complete documentation. Welcome and orient visitors as required. Maintain responsibility for the management of all patient health information associated with patient admissions, transfers and discharges, for the ward/department or hospital as required, in the Patient Administration System. Ensure patient health records are accurately collated and returned to HIS Department within 24 hours of patient discharge. Ensure Patient Administration System is reviewed daily and updated accurately. Validate ward/department patient lists daily to ensure an accurate patient census. Train new and relief Administrative Assistants in the Patient Administration System and role. Arrange follow up appointments for patients with medical practitioner’s rooms and/or allied health professionals. Orientate new medical and nursing caregivers to the clerical requirements of the ward. Communicate and liaise with nursing and medical caregivers regarding ward information. Order and maintain stationery and/or supplies for the ward/department. Other clerical duties as required and as per specific ward/department duty list (located in ward/department manual). Position Requirements The ideal candidate will have previous experience in administration or reception, with strong organisational skills and excellent attention to detail. They will possess well-developed written and verbal communication skills, along with the ability to engage professionally with patients, visitors, and staff at all levels. We are seeking someone who can work effectively both independently and as part of a supportive team in a busy hospital environment. Proficiency in Microsoft Office is essential, along with the ability to quickly learn and navigate relevant databases and systems. A proactive attitude and the ability to manage competing priorities will be key to success in this role.
