Overview
We are seeking a energetic, warm, and highly organised Executive Assistant to support two Executive Directors. In this role, you'll be the cornerstone of our leadership team's operations, providing seamless administrative support while fostering a positive and welcoming environment. You will also have a keen eye for detail, ensuring every task is handled with precision and efficiency. Responsibilities
- Act as the first point of contact for the Executive Director, including managing inquiries and responding on their behalf when required.
- Facilitate meetings and correspondence for the Executive Director and their team, including coordinating responses and following up outstanding matters.
- Research, analyse, collate, and provide information to support informed decision making and planning.
- Proactively schedule, organise, prioritise, and attend meetings as required to provide support.
- Maintain a collaborative relationship with the Executive Assistant to the Bishops to enable open communication between the Bishop’s office and the Executive Leadership Team.
- Prepare, review, and manage communications to support the Executive Director, including board reports, agendas, minutes, and emails.
- Manage confidential matters with discretion at all times.
- Coordinate travel and conference attendance with cost-effective and time-efficient arrangements.
- Participate in professional networks and forums relevant to the role.
- Provide coverage for the Executive Assistant Team when required.
What we are looking for
- Certificate IV or higher in Business Administration or equivalent
- 5+ years of experience at a senior executive assistant level
- Ability to build effective relationships with employees, volunteers, and other stakeholders
- Advanced computer skills with MS Office Suite
- Comprehensive knowledge of executive office administration practices and procedures
- High discretion handling confidential information
- Experience with meeting coordination and travel bookings
- Strong diary management for multiple stakeholders
- Experience with researching and supporting document collation
- Current drivers’ licence
- Working with Children check (or willingness to obtain)
- NDIS Check (or willingness to obtain)
- National Police Check (relevant outcomes considered)
