Position Title: Office Manager Employment Type: Full-time (Minimum 38 hours per week) Location: Baldivis, Western Australia Salary: AUD $73,000 – $85,000 + Superannuation (commensurate with experience)
About the Business
Ookuma Farm Pty Ltd is a commercial tomato farming operation supplying major supermarkets and wholesale markets across Australia. We manage year-round production, packing, and distribution, requiring strong administrative and operational support to ensure compliance, efficiency, and quality outcomes.
The Role
We are seeking an experienced Office Manager to oversee the administrative, operational coordination, and compliance functions of our tomato farm. This role is critical to ensuring smooth day-to-day operations between farm production, packing, logistics, and management.
Key Responsibilities
* Manage daily office operations and administrative systems
* Coordinate production, packing, and dispatch documentation
* Oversee payroll preparation, timesheets, and staff records
* Liaise with suppliers, transport companies, and customers
* Prepare invoices, purchase orders, and cost tracking reports
* Maintain compliance records (food safety, WHS, audits, labour requirements)
* Support management with operational reporting and data analysis
* Manage scheduling, communications, and document control
* Assist with workforce coordination, including seasonal labour administration
Skills and Experience Required
Essential
* Minimum 2–3 years’ experience as an Office Manager, Administration Manager, or similar role
* Experience in agriculture, horticulture, food production, or logistics environments
* Strong knowledge of office administration, reporting, and record-keeping
* Ability to manage multiple priorities in a fast-paced operational setting
* Proficient in Microsoft Office (Excel, Word, Outlook)
* Strong written and verbal communication skills
Highly Desirable
* Experience in fresh produce, farming, or food supply chain businesses
* Understanding of Australian workplace relations and payroll processes
* Experience dealing with audits, compliance, or quality systems
* Multilingual skills (e.g. Japanese, Spanish)
Qualifications
* Diploma or higher qualification in Business Administration, Management, or a related field (or equivalent relevant work experience)
