Key Duties and Responsibilities
Answering and directing phone calls in a professional and courteous manner
Filing and archiving of legal administrative documents (physical and electronic)
Assisting with the preparation on briefs, court documents and letters under supervision
Updating client and matter records in Smokeball or other firm software as directed
Training to follow systems and processes, documenting the same as required
Reception and client coordination
Greeting and welcoming clients and visitors to the firm
Managing client bookings, both over the phone and via email
Preparing and maintaining meeting spaces to ensure professionalism and client comfort
Other Duties
Ad hoc administrative or clerical support as directed by the team lead/Principals/or other senior staff as required
Supporting QLD office and staff during periods of peak workload, annual leave, or other absences
Policy implementation and management as directed
Skills, Experience and Attributes
A professional, courteous and well-presented manner
High attention to detail and organisational skills
Ability to work cooperatively in a team environment
Proficiency with Microsoft Office (Word, Outlook, Excel) and able to learn new systems
Performance and Review
The employee's performance will be reviewed periodically, including as part of annual performance reviews.
Key indicators will include:
Accuracy and timeliness of administrative tasks
Responsiveness and professionalism in client interactions
Demonstrated initiative and willingness to contribute to team success
