Our client is seeking a proactive and detail driven Bid Coordinator to support the Senior Bid Coordinator and Pre‑Contracts Team in managing tenders, Expressions of Interest (EOIs), and associated administrative processes. This role plays a key part in ensuring high‑quality, timely submissions and smooth coordination across the tendering lifecycle. This role is a 6 month contract commencing mid January.
Your new role
As the Bid / Tender Coordinator, you will be responsible for:
* Prepare and manage tender documentation in line with IMS procedures, including downloading job files, addendums, and notices.
* Coordinate tender review meetings with Senior Management and Estimators.
* Manage and compile non price returnable information, liaising with internal departments to gather required inputs.
* Facilitate Pre‑Contracts meetings, record minutes, and track follow up actions.
* Collate all bids, tenders, and EOIs for review with the Bid Manager.
* Maintain tender portals, databases, and company information.
* Update the tender register, tracking key dates, briefings, and review milestones.
* Maintain Estimating Governance templates.
* Assist with procurement activities, including issuing tender packages, managing supplier/subcontractor quotes, and preparing comparison summaries.
What you'll need to succeed
To be successful you will have:
* Experience in bid or tender administration, ideally within the civil construction industry
* Strong organisational, time management, and multitasking abilities.
* Ability to build effective working relationships across teams.
* High attention to detail and commitment to meeting deadlines.
* Proficiency in MS Office and general computer literacy.
