Administrative Services Role
This role is responsible for delivering high-quality, confidential, and customer-focused administrative services to clients, staff, and visitors.
* Corporate and medical records management involves maintaining accurate and up-to-date records in accordance with relevant laws and regulations. This may include coordinating with stakeholders, implementing record-keeping systems, and ensuring compliance with data protection policies.
* Staff training management requires planning, developing, and delivering training programs to enhance the skills and knowledge of employees. This may involve identifying training needs, creating training materials, and evaluating the effectiveness of training sessions.
* Fleet coordination involves managing the organization's fleet of vehicles, including scheduling maintenance, tracking vehicle usage, and ensuring that vehicles are used efficiently.
* Stock control requires monitoring inventory levels, ordering supplies as needed, and maintaining accurate records of stock holdings. This may also involve implementing procedures to prevent stock loss or theft.
* Basware and Oracle processing involves using specialized software to manage financial transactions, such as invoicing and payment processing. This may require working with financial stakeholders to ensure accurate and timely payment processing.
* Invoice requests for revenue require preparing and submitting invoices to clients or customers. This may involve negotiating payment terms, resolving any issues related to payment, and following up on outstanding invoices.
* Data entry involves accurately and efficiently entering information into computer systems, such as CME and EMR data entry. This may require working with sensitive or confidential information, such as patient records.
* Appointment scheduling involves coordinating schedules and arranging appointments for clients or customers. This may require communicating with stakeholders, managing multiple schedules, and ensuring that appointments are completed on time.
* Switchboard and front counter service require providing a welcoming and professional first impression to clients or customers. This may involve answering phone calls, responding to queries, and directing visitors to the correct department or person.
The ideal candidate will have excellent communication and organizational skills, be able to work independently, and have a strong attention to detail. They will also have experience with administrative software, such as Basware and Oracle, and be able to provide high-quality customer service.
