Job Overview
As an Administration Assistant, you will play a pivotal role in supporting the smooth operation of our retail centre in Toowoomba.
Working closely with the Centre Manager, you will be responsible for accounts payable and administrative support across various departments, including Operations, Marketing, and Admin. You will also serve as a key point of contact for customer service inquiries.

Key Responsibilities
* Maintain accurate databases and information systems for efficient record-keeping and data analysis.
* Record meeting minutes and coordinate security bookings to ensure seamless event planning.
* Oversee contractor compliance, tenancy inspections, and car park operations to maintain high standards of facility management.
* Conduct regular safety audits and maintain emergency equipment to ensure a secure working environment.
* Process CCTV requests and manage documentation to facilitate effective incident response.
* Provide reception support and administrative assistance to enhance the overall customer experience.
* Support Accounts Payable/Receivable processes to ensure timely payments and receipts.
* Collaborate with Marketing, Operations, and Centre Management teams to drive business outcomes and achieve shared goals.
Requirements
* Proven ability to handle difficult situations with customers, retailers, and contractors with professionalism and poise.
* Excellent customer service skills to deliver exceptional experiences and build strong relationships.
* Basic financial accounting and bookkeeping knowledge to effectively manage accounts payable and receivable.
* High integrity and sound communication skills to maintain confidentiality and resolve conflicts.
* Strong planning and organising skills, including time management, to meet deadlines and prioritise tasks effectively.
* Proven attention to detail to ensure accuracy and precision in administrative tasks.
* Able to work under pressure and adapt to changing circumstances while maintaining a calm and composed demeanor.
* Self-motivation and flexibility to adjust to new challenges and responsibilities.
