This is a full-time role and is based at our corporate offices in South Brisbane. Reporting to the Chief Operating Officer, the Executive Administrator will play a pivotal role at the heart of our organisation, providing high-level support to the Executive Leadership Team while driving the smooth day-to-day running of our office operations. This is an opportunity to make a genuine impact by supporting structure, momentum and exceptional coordination. In this diverse and hands-on role, you will keep senior leaders organised and well prepared by managing diaries, meetings, briefings, travel and correspondence, while also coordinating key meetings for Board and Committees. You will help drive operational excellence through strong recordkeeping, dashboards, reporting support, streamlined procedures, and the effective management of office administration and finance tasks, including purchase orders and reconciliations. You build trusted relationships with ease and communicate with warmth, professionalism and confidence across executives, Board members, colleagues and external stakeholders. You are a self-starter who enjoys working independently while also contributing positively to a collaborative, outcome-driven team. Key criteria To be successful in this role, you will possess the following: Proven experience providing high-level administrative support to senior executives, including calendar management, meeting coordination, workflow support, and the preparation of briefs and correspondence. Strong written and verbal communication skills, including the ability to prepare professional documents, agendas, minutes and correspondence, and engage effectively with a broad range of stakeholders. Demonstrated experience coordinating office operations, including facilities management, supplier relationships, security processes and general workplace administration. Experience maintaining accurate records, systems and documentation, with the ability to improve administrative processes and develop standard operating procedures. High-level proficiency in Microsoft Office, particularly Outlook, Word, Excel and PowerPoint, along with experience using SharePoint and productivity tools such as Copilot and Asana. Familiarity with finance administration processes, including purchase orders, reconciliations and related administrative support tasks. Exceptional organisational skills, with the ability to prioritise competing demands, coordinate multiple activities simultaneously, and maintain a high degree of accuracy and attention to detail.
