About the Role:

You will facilitate the end-to-end project cycle by undertaking precise take-offs and strategic procurement. This role will be accountable for rigorous documentation review to ensure each project is factory-ready and poised for seamless execution. As the central conduit between Sales, Drafting, Purchasing, and Production teams, you'll autonomously drive smooth collaboration and contribute to the overall project success.

About your Day:

Our Project Workflow Coordinator will confidently juggle a number of priorities and non-negotiables (we call "glass balls") to minimise risk of rework, maintain quality control standards, streamline process and exceed client expectations. You will be required to:

* Validate every Work Order against client scope, drawings, and commitments
* Proactively confirm accuracy of specifications (colours, finishes, and inclusions)
* Meticulously review all labour tasks to ensure they are accurate, comprehensive, and free from unnecessary entries, with each hour accounted for precisely
* Maintain full adherence to all record-keeping and documentation standards (including notations), so that tasks are recorded clearly, accurately, and can be easily actioned
* Work closely with Purchasing to complete detailed and accurate take-offs and orders, reducing the risk of downstream issues, promoting smooth project

Your day-to-day responsibilities (we refer to as "business as usual") include:

* Reviewing Work Orders before release to resolve discrepancies early and escalate as necessary
* Maintaining an organised Project Flow process across various internal systems, progressing projects through defined milestones and key stages
* Providing high level updates and regular reports on project readiness to the PMs and Leadership team
* Implementing quality assurance checks for documentation completeness including file management and version control
* Raising accurate purchase orders post take-off, material status tracking and updating of ETAs in
* Identifying supply risks to Projects Manager and Purchasing
* Continuously reviewing checklists, standard templates, and tracking metrics to boost project flow visibility and drive strategic process improvements
* Assisting with onboarding and training of new project support staff as required

* A highly organised multi-tasker, prioritising competing deadlines without jeopardising quality or accuracy
* Composed and calm under pressure
* Committed to continuous improvement, embracing change, ongoing learning and growth
* Familiar with project management tools (such as ) and general awareness of compliance and safety requirements
* Legally able to work in Australia
