About the Role
This is a front-of-house role and the first point of contact for our clients — on the phone, via email, and in person in our Geelong office. You will play a key role in creating a professional, organised and welcoming experience, while supporting the broader team with a range of administrative tasks.
This role is well suited to someone who enjoys variety, takes pride in presentation and organisation, and is interested in building a long-term career within the financial planning or professional services industry.
Key Responsibilities
· Welcoming clients on arrival and creating a warm, professional front-of-house experience
· Preparing meeting rooms and offering refreshments from our drinks menu
· Answering and directing incoming calls in a friendly and professional manner
· Managing and maintaining the business calendar
· Scheduling client meetings and supporting client enquiries
· Liaising with clients, advisers, product providers and licensee contacts
· Supporting management with administrative tasks and business projects
· Assisting with marketing and promotional activities as required
· Managing incoming and outgoing mail (electronic and hard copy)
· Maintaining a professional office environment and monitoring office supplies
About You
You are warm, approachable and organised, with strong communication skills and a genuine interest in people. You enjoy being part of a team, take initiative, and are comfortable managing a variety of tasks in a professional environment.
Australian work rights are required for this position.
Skills & Experience
· Previous experience in a reception or office administration role (preferred but not essential)
· Intermediate computer skills
· Intermediate proficiency in Microsoft Office suite is required (Outlook, Word, Teams)
· Comfortable managing phones, calendars and client interactions
· Barista or coffee-making experience (highly regarded)
· Positive attitude, reliability and a willingness to learn
