Where You'll Be Working
Join our innovative Diabetes Alliance Program Plus (DAP+) team and make a real difference across the Hunter New England region. The Diabetes Alliance Program Plus (DAP+) is a collaborative program designed to improve diabetes care through specialist outreach and integrated models of care within the primary care sector. This temporary part time position (0.6 FTE) is contracted until the end of December 2026 and is based at Wisteria House, James Fletcher Campus. You will work within a multidisciplinary team alongside DAP+ Endocrinologists, Diabetes Educators, Dietitians, Managers and Administration Officers, all committed to excellence and cultural respect. About The Role
We are looking for a capable and organised Administrative Officer to join our dynamic DAP+ team. This role is the operational engine room — supporting day-to-day administration, maintaining system accuracy and ensuring the team runs smoothly behind the scenes.
Key Responsibilities
* Providing general administrative support including correspondence management, preparing documentation packs for face-to-face and virtual clinics, managing document transfer to appropriate systems, car bookings and site maintenance requests
* Facilitating and managing pre and post clinic patient reminders, general practice virtual/IT setup and support, evaluation surveys and patient feedback
* Coordinating and providing secretariat support for meetings and committees, including scheduling, agenda preparation and minute taking
* Providing reception support and managing internal and external enquiries
* Entering and managing data across key health systems
* Supporting reporting activities and contributing to team goals with a proactive mindset
* Understanding and willingness to learn systems including TiMS, iPM, QARS, RiMS, MyVirtual Care and Microsoft 365
* Acting in accordance with HNE Health Values Charter and NSW Health Code of Conduct, modelling behaviours that reflect the Excellence Framework (Every Patient, Every Time) and demonstrating cultural respect in line with Closing the Gap strategy
Your initiative, eye for detail and ability to juggle priorities will help drive efficiency and outcomes across a busy health portfolio.
About You
You are a confident communicator who thrives in a fast-moving administrative environment. You are comfortable managing multiple tasks, maintaining system accuracy and stepping in where needed.
You Must Have
* Previous experience in an administrative or office support role
* Strong computer literacy and confidence navigating multiple systems
* Excellent organisational and time management skills
* Strong written and verbal communication skills
* Ability to work flexibly within a structured and supportive team
