KMJ Surveying is a locally owned consulting surveying and land development business servicing the NSW Southern Tablelands and surrounds from our head office in Goulburn, as well as the Eurobodalla region on the NSW South Coast. About the Role:
We are seeking a diligent and reliable Administration Officer to join our team in a part time role of hours per week to assist with the delivery of effective administrative and operational support services to our team.
Your key responsibilities will include:
* Acting as part of the team responsible for being the first point of contact for incoming calls, emails and front desk enquiries.
* Providing general office administration support to the broader team.
* Liaising directly with clients, suppliers and contractors to ensure strong communication and contributing to project outcomes.
* Data entry and document preparation.
* Updating job records in the company's project management system.
* Assist with project setup, including quote and tender document preparation, job documentation and system updates.
* Updating equipment registers and safety documentation.
* Handling incoming and outgoing mail.
* Preparation of team meeting agenda and minutes.
* Assisting with project cost reporting, invoice preparation and issue to clients, as well as handling invoice queries.
* Processing of accounts, invoices and general book keeping activities.
* Supporting the continuous improvement of internal systems and processes.
What we're looking for:
* Previous experience in an administration role.
* Strong organisational skills and high attention to detail.
* Excellent communication – both written and verbal, with a professional and friendly phone manner.
* Experience in managing shared or general email inboxes, including prioritisation and delegation.
* A proactive, solutions-focused mindset and willingness to assist where needed.
* Comfortable working independently and managing priorities.
* Confident with Microsoft Office and cloud-based systems.
* Experience with financial/accounting systems and methodology.
* Ability to maintain accurate record keeping and timely processing of records.
