We're currently looking for an experienced Administration Assistant to join our dynamic and close‐knit team. This role is ideal for someone who thrives in a fast‐paced professional services environment, enjoys variety in their day, and is confident dealing directly with clients. Key Responsibilities
Client Support and Communication
* Build and maintain strong relationships through professional and timely communication.
* Assist with new client onboarding, including gathering documentation and setting up client records.
* Respond to client queries, ensuring technical questions are directed to the appropriate accountant.
Administration and Office Support
* Reception and client services
* Prepare and collate client documents, including tax returns, financial statements, and engagement letters.
* Manage client correspondence, filing, and accurate record-keeping in practice management systems.
* Coordinate diaries, book client appointments, and support meeting preparation.
* Manage incoming/outgoing mail and email correspondence.
* Assist with invoicing, receipting payments, and following up accounts receivable.
Workflow Management
* Support workflow tracking and job management
* Generate reports (e.g., WIP, outstanding lodgements, billing summaries) to support accountants and directors.
* Maintain practice databases and ensure compliance records remain up to date.
* Assist with implementing process improvements to increase efficiency.
Client Experience and Service Quality
* Ensure clients consistently receive a professional and high‐quality service.
* Proactively follow up with clients for outstanding information and documentation.
* Work closely with accountants, directors, and the practice manager to deliver client outcomes.
* Handle all client matters with confidentiality and discretion.
ATO and ASIC Liaison (desirable but not essential)
* Lodgement of tax returns, BAS, and other documents electronically with the ATO.
* Liaise with the ATO regarding client‐related matters.
* Assist with ASIC compliance tasks, including company/trust registrations, annual reviews, and corporate secretarial requirements.
What You Bring to the Table
* 1+ years of experience in a similar role within an accounting firm or professional services.
* Working knowledge of Xero, Xero Practice Manager (XPM), Karbon and Microsoft Office.
* Confidence dealing with ASIC and ATO correspondence.
* Outstanding communication skills—phone, email, and face‐to‐face.
* Impeccable attention to detail and strong time management.
* A proactive, team‐oriented approach with a love for helping clients and colleagues.
* A genuine interest in the accounting industry and desire to grow within it.
