Job Title: Executive Administrative Assistant
Job Description
We are seeking a highly organized and experienced executive administrative assistant to oversee the smooth operation of our administration department. This is a dynamic and fast-paced role that requires someone who thrives in a client-focused environment.
The successful candidate will be responsible for managing schedules, coordinating services, and supervising field teams. They will also be required to update schedules, manage communication with clients, and ensure service compliance with quality standards.
Key Responsibilities:
* Manage work force and coordinate all services
* Plan service schedules and allocate zones based on staff availability and client preferences
* Supervise operational tasks including time tracking, task instructions, and quality control
* Update schedules in case of cancellations or last-minute changes
* Recruit, onboard, and train new field contractors
* Monitor timesheets, validate hours, and prepare payments
* Handle client communication via phone and email: quotes, feedback, and complaint resolution
* Invoice, payment follow-ups, and administrative tracking
Requirements:
* Bachelor's degree in management or related field
* Extensive experience in administrative management, coordination, or operational supervision
* Excellent verbal and written communication skills
* Excellent organisational and planning skills
* Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, etc)
* Proficiency in two or more languages is highly regarded
