Role


Specific to Music Administration:

Provides administrative support to Music department, including teachers and instrumental instructors, students and parents.

* Administrative support to the Head of Music and music staff
* Monitor parent payment via Compass and covers
* Eschools online orders and checking invoices.
* Provide practical support on rehearsal and concert event days
* Book Venues, buses and trucks etc. for events
* Create program booklets for events
* Maintaining accurate and complete data of music student enrolments through Compass
* Maintain music building
* Instrument stocktake, barcode, label and number and log repairs
* Upkeep of music uniform etc.
* Log Maintenance requests via schools service desk

Specific to Interschool Sport Administration:

Provide administrative support to the Interschool Sport Program

* Compass: monitor payments and consent for Interschool Sport events and communicate with parents
* Eschools online orders and checking invoices.
* Book Venues & buses etc.
* Event Notifications:
* Monitor parental consent requirements and covers:
* Student participation in the interschool sports program
* Travel to various external venues
* Bus transport between campuses as needed
* Uniform hire and cleaning
* Log Maintenance requests via schools¿ service desk


Responsibilities

* Provide routine clerical or other administrative support responsibilities including general telephone enquiries, deliveries, assisting with stock control, supporting organisation of meetings, receiving and initial processing of standard paperwork
* Maintain, enter and retrieve data from the schools IT systems, such as the school's records system, including computerised student, staff and school records
* Support or coordinate the preparation of standard routine internal and external communication according to school procedures.
* Coordinate the delivery of administrative services within the school
* Develop and implement strategies to ensure effective administration procedures
* Coordinate the implementation of requisitioning, purchasing and issuing procedures
* Liaise with school staff in regard to support requirements

May also be asked to help out in the Admin Office due to staff shortages as instructed by the Business Manager.

Qualifications and Position Requirements

* Current Working with Children Check and National Police Check
* Outstanding IT and word processing Skills
* Excellent communication, planning and organisational skills
* Proficient in Microsoft Office products, including Word, Excel, and Outlook
* The nature of the position is such that the Music Administration Assistant may be required to be available outside of normal school hours, and be available to attend Music Department-related School events
