About Western Australian Institution of Surveyors (WAIS):
Established in 1910, WAIS has a proud and enduring history representing the surveying profession in Western Australia. As such, WAIS remains the peak professional body supporting surveyors across the state.
As a state-based Institution governed by a volunteer Management Committee, WAIS is responsive to the needs of members working across private practice, government, contracting and consultancy.
Currently, WAIS represents more than 300 members and has steadily increased membership. Our strategic focus is to continue expanding our membership base to represent the majority of surveyors in Western Australia while strengthening public and industry recognition of the vital role surveyors play in our economy and built environment.

The Position:
WAIS is seeking to either directly employ or contract via a business with an ABN; an Executive Secretary.
Working Hours:
Working hours are between 20 and 25 hours per week. The working hours can be flexible based on the needs of the Institution Management and your availability. The hours may vary throughout the year due to Institution events, with flexibility required at these times.
Committee meetings and supporting planned events for members, may require working at specific times and places that may be outside normal working hours.
Location:
This role is a hybrid role, worked from home and Nedland based office.
Reporting relationships:
The position reports directly to the President, or their nominated delegate.
Activities:
The position will have responsibility for the day-to-day management of the Institution's business under supervision. These duties will be in a scope of activities to be supplied to the successful applicant and are summarised as follows.
1 General:
The Executive Officer position is a management and administrative role to assure the effective administration of the Institution's business. It provides support services to the President, the Executive and Management Committee, communicates information regularly to members, arranges events for the Continuing Professional Development program, receives and responds to enquiries from member as appropriate, and any other work required to support the goals of the Institution.
Key responsibilities
Administration of WAIS business including all correspondence, records of meetings, assisting financial management, reporting and certification management.
Maintenance of the WAIS website and its content, including the management of email services and related modes of communication to members.
Supervising the promotion of the work of the Institution to:
* government, industry and the public through the media and related channels
* members, stakeholders and partner organisations through our website and email channels.
Providing support for members including the handling of general queries, the organisation of social, technical and other Continuing Professional Development events including two half or full day annual conferences.
Maintenance of membership records and payments and all other items of general WAIS business including any specific work as directed by the President or the Committee, including reporting on progress and outcome.
At peak periods, supervising casual staff member.
Esesntial Selection Criteria:
Demonstrated experience in office administration, preferably for a not-for-profit, small business or industry association
Proven ability to communicate at a professional standard, both verbally and in writing
Demonstrated ability to use IT systems to manage office business
Demonstrated ability of Membership Works or other similar membership management software
Demonstrated ability of Mailchimp or equivalent
Demonstrated ability to maintain a website and communicate using the various email and social media channels
Experience managing public relations across a range of stakeholders
A demonstrated ability to work independently and with initiative to support and achieve defined objectives
A national police clearance, less than 6 months old.
Desirable Selection Criteria
Successful completion of a relevant tertiary qualification in a related field
Experience in providing membership services within a professional environment
Demonstrated experience in research and strategic planning
Understanding and/or experience of the issues affecting the survey profession
