Project Coordinator Role

Job Summary
Provide administrative support services to project managers and teams across construction projects for QLD State Government.
* Support the creation, maintenance, reconciliation, and closure of projects and work orders.
* Prepare contractual letters and maintain accurate records and files.
* Manage monthly billing activities, including reviewing unbilled costs, validating billing files, resolving discrepancies, and distributing supporting documentation to clients.
* Conduct regular system data reviews to identify inaccuracies, prepare journals, and implement necessary system updates.
* Generate procurement purchase requisitions, process accounts for payment within critical timeframes, and monitor open purchase orders.
* Validate contractor invoices via web portals and resolve discrepancies to improve data accuracy.
* Ensure high standards of accuracy in compiling documents, reports, and updating information systems.
* Prepare timely and accurate program reports for both internal and external stakeholders.
* Enter and maintain planned and approved project budgets.
Key Qualifications
* At least 12 months of experience in a project administration or contract administration role within the construction industry or similar.
* Proficiency in Microsoft Suite, particularly Excel.
* Familiarity with Ellipse or Aurion is an advantage.
* Ability to work under pressure and meet critical deadlines.
* Excellent communication and interpersonal skills.
* Able to maintain high standards of accuracy and quality when compiling documents and reports or updating records and information systems.
