Job Description
We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to our Real Estate Partners and Executive Directors. This role encompasses a range of responsibilities including managing diaries and travel arrangements, word processing, and general administrative coordination. In addition, the Executive Assistant will extend their support to wider teams, ensuring smooth day-to-day operations and helping maintain a high standard of service across the organisation.
Key Responsibilities:
* Manage diaries, arrange meetings, and communicate with VIP clients and C-suite executives.
* Prepare presentations, reports, and correspondence for senior leadership.
* Coordinate travel and accommodation for executives.
* Organize client functions, marketing events, and meetings, including technical setup and catering.
* Handle incoming calls and emails, ensuring prompt action and follow-up.
* Assist with expense reports, timesheets, invoicing, WIP reports, and CRM updates.
* Assist with group projects and research requests as required.
* Provide general administrative support, including document preparation, photocopying, and creating reports.
Qualifications
* Previous experience as an Executive Assistant in a professional services environment preferred.
* Exceptional organisational skills and strong attention to detail.
* Proven ability to manage multiple responsibilities, demonstrate initiative, and take a proactive approach.
* Ability to interact in a professional manner at all times, with strong verbal, interpersonal and communication skills.
* PC proficient including advanced Microsoft Office (Word, Excel, PowerPoint and Outlook).
* Confident in multiple technology systems including SharePoint, video conferencing and exposure to CRM beneficial.
* Skilled in multitasking, managing and meeting competing deadlines.
* Ability to work well under pressure.
* Capable of working independently and collaboratively within a dynamic team setting.
* Flexibility, in relation to working hours, as well as being able to change priorities and tasks as required.
* Ability to adopt a 'hands on' approach.
