What You'll Do
This role offers a broad scope, with key responsibilities including:
* Safety & Compliance
: Promote Downer's Zero Harm practices, adhere to Cardinal Rules, and meet Health, Safety, and Environmental expectations.
* Administrative & Project Support
: Provide support to Project Delivery Managers, schedule meetings, prepare documentation, and track tasks.
* Procurement & Subcontractor Management
: Assist with RFQs/RFTs, manage subcontractors, RFI processes, and oversee invoice/claims management.
* Defence Systems & Reporting
: Upload/update documents, submit reports/workflows via Defence systems (GEMS, ROMAN, Objective), and ensure data accuracy.
* Continuous Improvement & Stakeholder Engagement
: Liaise with Defence stakeholders and SDPs, support communication consistency, and participate in initiatives for efficiency and quality improvement.
What You'll Bring
* Qualifications & Clearances
: Certificate IV in Business Administration (or similar), Defence Security Clearance, White Card, and valid Driver Licence.
* Project Administration Experience
: Minimum two years' experience including preparing documents, recording minutes, and conducting research/collation of information.
* Technical & Analytical Skills
: High-level proficiency with Microsoft Office Suite and ability to interpret financial forecasting data.
* Communication & Stakeholder Management
: Excellent written/verbal communication, strong customer focus, and effective stakeholder liaison skills.
* Organisation & Teamwork
: Ability to plan/prioritise tasks, meet deadlines, work autonomously, with strong attention to detail and adaptability.
