We are seeking a highly organized, proactive, and detail-oriented Executive Administrator to support the Chief Financial Officer (CFO) of a leading organization in the tech industry. This role requires someone with a strong background in high-level administrative support, global calendar coordination, and project management. The ideal candidate will be resourceful, tech-savvy, and able to thrive in a fast-paced, dynamic environment while managing sensitive information with the utmost discretion.
Responsibilities
- Manage calendar scheduling, meeting coordination, and event logistics, including catering and venue bookings.
- Liaise with reception, facilities, IT, and security teams to resolve office and support issues.
- Greet and host clients and partners during onsite meetings. Prepare agendas, take notes, and support rhythm-of-business meetings (e.g., weekly syncs, all-hands).
- Oversee expense reports, benefits claims, purchase orders, and incoming financial mail. Coordinate onboarding for new hires and provide ongoing admin support.
- Handle domestic and international travel bookings, including visa processes.
- Maintain confidentiality of sensitive information and ensure compliance with internal procedures.
- Apply expertise in tools and systems to streamline admin operations.
- Support general administrative tasks as needed.
Skills
- Previous EA experience supporting a CFO (nice to have)
- 5-7 years experience required.
- Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills.
- Ability to work independently and manage one’s time.
- Ability to keep information organized and confidential.
- Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint.
- Experience working with executives highly preferred.
