The Role
As Bid Coordinator, you'll be responsible for coordinating the preparation, review, and submission of high-quality proposals, tenders, and expressions of interest. You'll work closely with our Managing Director, Project Team Leaders, and consulting staff to ensure proposals are accurate, compliant, and delivered on time.
Your work will include:
* Managing tender timelines and coordinating input from technical, marketing, and finance teams
* Editing, formatting, and producing proposal documents to a high professional standard
* Administering document control, branding, and version management systems
* Maintaining master libraries and proposal data in our project management system (Total Synergy)
* Conducting background research and supporting continual improvement in bid processes
* Assisting with business development and administrative coordination where needed
You'll be central to ensuring the quality and consistency of Artefact's professional submissions, helping our teams deliver their best work to clients.
What we are looking for:
You're organised, detail-oriented, and thrive on managing multiple deadlines. You care about quality, enjoy bringing order to complex information, and can guide diverse contributors to a polished, professional result.
To succeed in this role, you'll bring:
* Proven experience in bid coordination, tender or proposal management, or similar
* Strong written and verbal communication skills, including excellent editing and grammar
* Exceptional attention to detail and advanced document management skills
* Proficiency across Microsoft Office and document control systems
* The ability to work collaboratively and effectively under pressure
* Analytical and creative problem-solving skills
* (Bonus) Familiarity with project management systems, AI tools, or the heritage/consulting sectors
