Administration Manager - Permanent position - Monday to Friday in the Oil and Gas Industry
This is an opportunity for an Administration Manager to join a well-established business with a 20-year track record and a portfolio of major clients in the energy sector. The company is still led by its original founder, ensuring clear values, stability, and a clear vision.
As part of a close-knit team, the role reports directly to the owner and the operations manager, providing real influence and insight into the business. Whilst many companies claim to have a supportive and inclusive culture, this client’s claims can be seen by the length of time people stay with the business. Most of the people in this company have been with the business more than 5 years, building strong relationships with each other and clients as well as growing with the business.

Role Responsibilities:
* Oversee and perform end to end accounting requirements including accounts payable, receivable, inventory, payroll, superannuation, BAS and end of month general ledger closing
* Prepare and upload sales invoices into customer platforms including SAP Ariba
* Preparation of reports for budget and cashflow analysis
* Support operations with onshore and offshore mobilisation, including booking flights and accommodation
* Ensuring pre-mobilisation requirements are met for numerous client sites
* Human resource management including recruitment, onboarding and development
* Coordinate and administer the HSEQ system
* Ensure external audit criteria is met to maintain compliance in ISO 45001 and ISO 9001
* Assist with the preparation of tenders and contracts
* Act as document controller to ensure accuracy and consistency of documents company wide
* Contribute to and assist with company strategic plan ensuring systems and information are aligned with performance expectations
Experience:
* A minimum of 5 years of administrative management experience
* Proficiency in Xero accounting software is essential, with a strong focus on BAS statements.
* Demonstrated ability in overseeing administrative tasks such as payroll, accounts payable, and accounts receivable.
* Excellent organisational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.
* Strong written and verbal communication skills.
