THE ROLE:
We are seeking dynamic and collaborative APS 4 Executive Assistants (EAs) who have experience providing executive support. These roles require strong communication and organisational skills and the proven ability to proactively manage competing priorities.
To be successful in this role you will be required to undertake work that meets the needs of one or more SES and work under minimal supervision. You will exercise initiative and judgement in the application of policies and procedures.
An Austrade-only merit pool will be created from this recruitment round to fill similar vacancies that may arise during the subsequent 18 months from date of advertising.
DUTIES INCLUDE:
1. Managing SES schedules and emails and bringing priority matters to the attention of the SES and/or their Executive Officer (where applicable).
2. Managing travel bookings, approvals and itineraries for the SES.
3. Coordination of meetings on behalf of the SES, including distribution of meeting papers (as required).
4. Ensuring adherence to corporate policies and reinforcing a culture of compliance within the Division or Group.
5. Liaise effectively with a range of internal and external stakeholders, exercising judgement and professionalism at all times.
6. Demonstrated communication skills including the ability to develop and maintain effective internal and external working relationships.
7. Ensuring the SES is equipped with relevant briefings ahead of meetings.
8. Maintaining confidentiality and privacy of the Agency's business matters at all times.
9. Performing 'front of office' support functions, including meeting room set up and greeting visitors.
10. Ability to work independently with minimal supervision, including remote support as required (e.g. while SES is travelling).
11. When capacity in workload arises, assist with other project-based work as required (at the direction of the SES).

ELIGIBILITY:
1. Australian citizenship – our successful candidate must be an Australian citizen.
2. Security clearance – our successful candidate is required to hold, or have the ability to obtain, and maintain at minimum a Baseline security clearance.
