We're an established multi‐branch wholesale distribution business supplying thousands of products to customers across Australia — and we're looking for an experienced Purchasing Officer / Stock Controller to join our operations team. In this role, you'll take ownership of procurement, inventory control, and supplier management to ensure the right stock is available at the right time, every time.

* Assess, compare, and manage supplier performance
* Build strong supplier relationships and conduct regular performance reviews
* Request and analyse quotes to ensure competitive pricing
* Maintain and update preferred supplier lists

Purchase Order (PO) Management

* Raise accurate POs based on forecasts, reorder points, and internal requests
* Verify all PO details (pricing, SKUs, lead times, UOMs, allocations)
* Track PO progress, follow up on delays, backorders, and partial shipments
* Resolve discrepancies between POs, invoices, and deliveries
* Monitor inventory levels across all branches
* Conduct demand forecasting using sales history and seasonal trends
* Manage stock transfers and redistribution between branches
* Identify and action slow‐moving, obsolete, or surplus stock
* Support stocktakes, cycle counts, and variance reporting
* Maintain accurate product data (lead times, pack sizes, reorder rules)

Inbound Logistics & Warehouse Coordination

* Coordinate incoming shipments with warehouse teams
* Track freight and liaise with suppliers to confirm ETAs
* Ensure correct receipting, inspection, and documentation
* Report and resolve damaged goods, incorrect deliveries, and short supply

Data Accuracy & Systems Administration

* Maintain accurate product, supplier, and cost information
* Update supplier terms, lead times, and pricing changes
* Produce purchasing and stock reports for management
* Monitor purchasing spend and pursue cost‐saving opportunities
* Validate invoices and investigate pricing/quantity variances
* Manage credit claims for shortages, faulty goods, and overcharges
* Analyse landed costs and allocate correctly

Compliance & Policy Adherence

* Follow procurement policies and approval workflows
* Maintain accurate and auditable purchasing records
* Assist with internal and external audit requirements

Cross‐Functional Collaboration

* Work closely with operations, sales, and finance teams
* Communicate stock issues, ETAs, and delays across branches
* Assist product managers with new product setups and supplier onboarding

Customer Service Support

* Provide ETAs and stock information to customer service teams
* Assist with customer complaints related to stock availability
* Manage supplier returns and RMA processes
* Identify opportunities to reduce stockholding costs
* Recommend alternative suppliers or products
* Contribute to automation, forecasting enhancements, and process optimisation

You will be a great fit if you have:

* Experience in purchasing, procurement, or inventory control (wholesale or distribution preferred)
* Strong analytical skills and confidence working with data
* Excellent communication and supplier‐relationship skills
* A proactive mindset — you spot issues early and act on them
* High attention to detail and strong organisational abilities
* Exceptional Excel & Power BI skills
* Experience with ERP systems or inventory management software
* Ability to work collaboratively across multiple branches
