Are you an organised, people focused HR professional who loves keeping things running smoothly behind the scenes? This is a great opportunity to join Next Step Disability Service Mackay in a key HR and administration role that directly supports our front line teams and the participants we support.
You will play a central role in the employee lifecycle, help strengthen our HR processes, and make sure staff have a positive and professional experience from recruitment through to offboarding.

Next Step Disability Service Mackay (NSDSM) is a locally owned NDIS provider supporting people with disability to live meaningful, connected lives in Mackay and surrounding areas.
You will be joining a small, hands on leadership team that genuinely cares about staff, participants and doing things the right way.
About the role
As the HR and Administration Officer, you will be the go to person for HR administration, onboarding, compliance and general office support. This is a very practical, varied role where no two days look the same, and where your work will have real visibility across the business.
Key responsibilities
Recruitment, onboarding and training
* Coordinate end to end recruitment for support workers and other roles
* Prepare and send contracts and handbooks through Adobe
* Schedule and deliver 3-4 hour group induction sessions using our induction PowerPoint and checklist
* Set up and update staff training profiles and track completion
* Assist with participant house set up from a staffing and paperwork perspective
HR administration and employee lifecycle
* Maintain accurate, up to date staff files and HR records
* Support employee performance processes – verbal feedback, email follow up, documentation and termination paperwork in line with direction from Directors
* Draft and send HR related emails, memos and process updates on behalf of the Directors
* Support offboarding processes and ensure documentation and systems are finalised
Compliance, reporting and systems
* Enter and update tasks for participants and staff in ShiftCare
* Run weekly shift note compliance reports, follow up with staff and graph results
* Assist with weekly behaviour reporting and documentation
* Complete monthly PRODA reporting
* Manage incident report processes in ShiftCare – follow up with staff, investigate and escalate as required
* Create new NSDSM forms and assist with updating existing forms and templates
* Keep up to date with HR webinars and Fair Work updates and flag relevant changes with the leadership team
General admin and payroll support
* Answer phones and provide professional front of house support
* Sit in on stakeholder meetings when required and take notes or action items
* Assist payroll by tracking missing receipts and following up on incorrect mileage entries
* Contribute to the monthly staff newsletter
* Assist with scheduling and general administrative tasks as needed
About you
You thrive in a busy, people centred environment and enjoy being the organised person who keeps everything on track. You are comfortable juggling competing priorities and working closely with Directors and coordinators.
You will bring:
* Previous experience in HR administration, coordination or similar
* Strong attention to detail and excellent organisational skills
* Confidence working with data and systems (ShiftCare experience an advantage, but not essential)
* A warm, approachable manner and the ability to build rapport with staff at all levels
* High level of integrity and discretion when managing sensitive information
* A proactive mindset and willingness to learn
* Some payroll exposure or a genuine interest in learning payroll processes
* Experience in the disability, community services or NDIS sector will be highly regarded, but is not essential.
