Facilities Manager Role

The Facilities Manager will oversee the day-to-day client property activities on-site for an assigned client portfolio and serve as the key point of contact for client stakeholders. The role involves property-related responsibilities as required by the client, detailed below.


Main Duties

1. Building Management: Provide building management services for a Canberra client's property portfolio, act as the primary contact with landlords and contractors, conduct site inductions, review work orders, and coordinate with contractors and site access tools.
2. Facilities Support: Support facilities management across all client sites, focusing on Canberra. Familiarize with work order systems, develop efficiency solutions, follow up on jobs, and keep clients updated.
3. Asset and Maintenance Planning: Understand property asset and maintenance plans, assist in maintaining accurate property data, and coordinate with the national facilities manager.
4. Contractor Performance: Review contractor delivery, manage performance with procurement and facilities teams, and ensure timely communication with staff.
5. Service Improvement: Identify service gaps, implement process improvements, and attend regular meetings.
6. Reporting: Generate operational reports, assist with data analysis, and track action items.
7. Minor Works Management: Oversee minor works projects, develop project plans, and establish processes for minor works.
8. Client & Stakeholder Management: Engage stakeholders proactively, build relationships, manage communication, and identify value-add opportunities.
9. Health & Safety: Ensure a safe working environment, compliance with safety standards, and manage safety procedures.
10. Site Operations: Recommend quality improvements, implement procedures, meet environmental requirements, and provide after-hours support if needed.
11. Risk Management: Implement risk assessments, disaster recovery, business continuity, and incident reporting procedures.
12. Performance Targets: Achieve KPIs and SLAs, and perform additional activities as directed.


Qualifications

* Bachelor's degree in facilities management, building, business, or related field, or 3-5 years' experience in facilities, property management, or hospitality.


Experience

* Experience working in facilities management environment.
* Excellent communication skills and stakeholder management.
* Knowledge of vendor management, technical property systems, and contracts.
* Strong budgeting and financial analysis skills.
* Understanding of building systems, property procurement, and WHS requirements.
* Ability to work within client management systems and in teams.
* Minimum Baseline Security clearance.
* Trade background in HVAC, hydro, electrical, or 5 years relevant experience preferred.
