Opportunity
We are seeking an enthusiastic and experienced Program Coordination Officer to join the Defence Innovation Partnership team. Reporting to the Director, Defence Innovation Partnership, the successful applicant will be an integral part of a small, highly motivated and productive team.
This new contract position is responsible for providing a comprehensive range of timely, confidential and professional project coordination and administrative support services to the Defence Innovation Partnership team.
About Us
The Defence Innovation Partnership is a small team within Defence SA. The Defence Innovation Partnership is a catalyst for defence and space research and development in South Australia, and fosters collaboration and engagement between Defence SA, Defence Science and Technology Group, South Australian Universities and other research organisations and industry nationally and internationally.
Defence SA is a key economic development agency within the South Australian Government focussed on defence industry development. As well as the DIP, Defence SA also responsible for defence industry matters, Veterans SA, and the South Australian Space Industry Centre. Collectively, the agency advocates and supports the defence and space industry and veterans within South Australia.
South Australia is recognised as the Defence State and in this role, you will be able to be involved in growing the defence, space and cyber eco-systems in the state.

Role Purpose/Context:
The Program Coordination Officer, Defence Innovation Partnership reports to the Director, Defence Innovation Partnership and will be responsible for the following activities:
Program Coordination:
* Undertake discrete projects to contribute to DIP operations, such as:
* delivering workshops for the R&D community including venue liaison, invitations, speaker and industry engagement.
* Coordinating visits from international delegations.
* Contribute to DIP budget management in consultation with Program Operations Manager and Defence SA Finance team.
* For DIP funded projects, maintain project tracking and reporting documentation, and track post-funding activities in consultation with DIP Pathways Manager.
* Coordination and event management of regular DIP events.
* Monitor the DIP website for updates and currency in consultation with Defence SA Marketing and Communications team.
Program Administration:
* Secretariat for the DIP Advisory Board and Research Working Group including meeting coordination, preparation of meeting agendas and papers, and preparation of minutes.
* Assist with administrative duties associated with DIP's grants management process including booking consultation meetings and collating/printing grant assessment material.
* Undertake general administrative duties including filing, printing and collating documents, utilising the Objective EDRMS system.
* Provide calendar management and meeting coordination support for Director, DIP and other team members.
* Arrange and acquit interstate and international travel including bookings and itineraries for travel and accommodation, arranging finance and ensuring credit card access.
* Manage team purchasing including preparation of purchase orders, collating receipts and processing invoices using the Basware financial management system.
Key Selection Criteria:
* Experience in project coordination including providing support for project management eg. monitoring project milestones, coordinating project team meetings, and proactively updating project documentation.
* Experience with supporting Boards and/or committees with preparation and collation of reports, agendas and discussion papers, and preparation of accurate and concise meeting minutes.
* Experience in project administration tasks such as preparing and reconciling invoices and purchase orders, travel expenditure and monthly credit card statements.
* Experience in organising travel arrangements, preparing itineraries and accommodation, coordinating arrangements for meetings, conferences and official functions.

Special Conditions
This is a 4 year contract role with a twelve month probation period. The incumbent is required to enter into an annual performance agreement. Work outside of normal hours may be required in times of peak activity.
