About the Role
Mandala Hospitality values people first. As a Conference and Events Manager & Guest Service Agent, you will be responsible for overseeing all aspects of conferences plus events, as well as providing guest services, including customer satisfaction.
This is an interesting and unique dual role opportunity, split approximately 50% Conferences & Events and 50% Guest Services - perfect for someone looking for day-to-day variety.
As a Conference and Events Manager, you will be the driving force behind the planning, execution, and success of our diverse range of conferences and events. Your role will encompass the entire event lifecycle, from initial concept through to post-event analysis. Your creativity, attention to detail, and ability to manage multiple projects will be crucial in delivering exceptional experiences for our clients and attendees.
As a Guest Services Agent, you'll handle a variety of front office tasks, including taking reservations, maintaining guest accounts, whilst being passionate about creating memorable guest experiences.
What Your Days May Look Like
As Events Manager:
* Own the relationships with the Conference & Event clients including creation of event proposals, contracts, and coordinate associated rooming blocks/lists, ensure run sheets are accurate + distributed in a timely manner and processing event payments in accordance with contract terms
* Manage event registration, attendee communication, and on-site support, including groups Management (including quoting reactive group block allocation, rooming lists & payment terms)
* Optimize event packages to appeal to different market segments (corporate, leisure, weddings, retreats) and upsell and cross-sell additional services such as catering, AV equipment, and premium venue spaces to maximize revenue
* Maintain effective communication with internal stakeholders, clients, sponsors, and partners to ensure alignment and successful collaboration, and processing direct enquiries + indirect bookings, and develop and nurture strong client relationships through regular check-ins, site inspections, and tailored sales pitches
* Identify and target high-value prospects, including corporate clients, wedding planners, and event organisers, and analyze market trends and competitor activity to refine sales strategies and improve conversion rates, and engage in networking opportunities, including industry forums, trade shows, and community events, to build brand awareness
* Host internal weekly events meetings to ensure appropriate personnel understand the timing and nature of incoming events, and coordinate with internal teams and external vendors to ensure smooth event operations
* Meet or exceed event budgets, timelines, and deliver events, including ownership of events and conference leads funnel
* Work cohesively with local/national sales, and work with local & national marketing on conference & event targeted campaigns
* Conduct post-event evaluations to assess the success and areas for improvement, and provide reporting and projections including event funnel, leads and end of month actuals
* Ensure all events comply with legal, health, and safety regulations
As Guest Services Agent:
* Assist with guest enquiries both face-to-face and over the phone
* Handle a variety of front office tasks including taking reservations, maintaining guest accounts, and assisting guests on arrival, during their stay, and upon departure
* Provide exceptional service and go the extra mile to ensure a great guest experience
* Share your knowledge of the local area to provide guests with helpful information
* Assist other departments as needed to support the smooth operation of the hotel
What You'll Bring
* Bachelor's degree in event management, hospitality, marketing, or a related field/equivalent experience
* Proven experience in event planning and coordination and minimum 3 years' experience in corporate events and weddings
* Strong organisational and multitasking skills
* Excellent communication and negotiation abilities
* Creative problem-solving skills and attention to detail, and a self-starter with a collaborative mindset
* Willingness to seek proactive sales (as well as deliver the events), and proficient in proposals and contracts
* Proven track record of meeting & exceeding KPIs and targets
* Experience with C&E CRM systems (IVY preferred but not essential) and knowledge of Protel
* Flexible and customer service focused
* Ability to work flexible hours, including evenings and weekends, as required
