Overview We are a Central Coast-based business specialising in marine steel fabrication, food and beverage factory installations, industrial stainless steel solutions, and construction industry support. This role plays a key part in keeping our operations running smoothly behind the scenes.

Position Overview

* Position Status: Administrator
* Reporting To: Office Manager / Directors
* Liaise With: Workshop team, project managers, suppliers, and clients
* Expected Hours: 8:00am – 4:30pm, Monday to Friday (with flexibility if needed)
* Pay/Rate: Negotiable based on experience and capability

Role Summary This role supports the day-to-day administration and coordination of our fabrication and installation projects across the marine, industrial, food and beverage, and construction sectors. You'll help ensure the office runs efficiently, documents are accurate and up-to-date, and communications with staff, suppliers, and clients are professional and timely.

Responsibilities

1. Arrive on time and ready to start each day
2. Answer phones and direct enquiries professionally
3. Support project managers with job documentation and scheduling
4. Maintain accurate records, including job files, quotes, and purchase orders
5. Process incoming and outgoing mail and emails
6. Liaise with suppliers for orders, quotes, and delivery tracking
7. Assist with basic accounts tasks (e.g. entering invoices, reconciling purchases)
8. Use job management software to create and update jobs
9. Monitor and manage office supplies and general tidiness
10. Help coordinate inductions and paperwork for new staff and subcontractors
11. Keep safety documentation current and accessible (e.g. SWMS, inductions)
12. Upload and manage photos, certificates, and compliance records
13. Ensure client and supplier contact details are up to date
14. Support marketing/admin initiatives (e.g. updating website info, preparing documents)
15. Attend team meetings and contribute to a positive workplace culture
16. Maintain confidentiality and professionalism at all times

Key Performance Indicators (KPIs)

* All purchase orders and supplier invoices entered within 24 hours
* Job files fully documented and up-to-date before commencement
* 100% of safety forms filed correctly and accessible for audits

Future Possibilities & Career Development

Personal Development and Training: We offer ongoing training in safety, software tools (e.g. SimPRO or similar), and admin systems. You'll be supported to build skills that improve your efficiency and confidence in the role.
