Role Overview
We are seeking an experienced Exchange and collaboration specialist to support the ongoing management, enhancement and migration of the department’s core communication platforms.
Reporting within the End User Services section, the role is responsible for technical leadership and operational support of the department’s hybrid Exchange environment, including on‑premises Exchange Server, Exchange Online and associated archive, security and identity solutions. The role plays a critical part in ensuring secure, reliable and well‑governed messaging services for the organisation while supporting ongoing cloud migration and modernisation initiatives.
Key Duties and Responsibilities
The successful candidate will be responsible for the following:
Exchange & Messaging Platforms
* Manage, maintain and enhance the department’s hybrid Exchange environment, including on‑premises Exchange Server and Exchange Online.
* Perform upgrades, maintenance and lifecycle management of Exchange infrastructure in line with security and operational best practice.
* Support associated messaging technologies including mail gateways, transport rules and hybrid connectivity components.
Migration & Modernisation
* Lead and support mail data migrations to Exchange Online, including user mailboxes, shared mailboxes, distribution groups and Microsoft 365 groups.
* Develop and execute migration approaches and plans, including coexistence, transition and decommissioning strategies.
* Support Enterprise Vault archive data rationalisation, migration and retirement activities.
Technical Troubleshooting & Support
* Investigate and resolve complex technical issues across mail flow, hybrid connectivity, authentication, certificates and identity services.
* Provide escalation support and subject‑matter expertise to service desk and operational support teams.
* Ensure service stability through proactive monitoring, root cause analysis and remediation.
Security & Compliance
* Maintain messaging services in alignment with Australian Government cyber security requirements, including the ISM, Essential Eight and ACSC hardening guidance.
* Support secure configuration, logging, access control and audit requirements across messaging platforms.
Documentation & Governance
* Produce and maintain technical documentation, including:
o As‑built and design documentation
o Detailed migration and cutover plans
o Disaster recovery and business continuity documentation
o Decommissioning and operational procedures
* Participate as the technical representative in project and governance forums.
* Facilitate or contribute to technical workshops as required.
Collaboration & Knowledge Sharing
* Work closely with infrastructure, security, identity and end‑user computing teams.
* Support cross‑skilling and capability uplift within End User Services and related ICT teams.
Requirements
Required Skills and Experience
Essential
* Expert knowledge of Exchange Server, Exchange Online and hybrid Exchange deployments, including implementation, upgrade and day‑to‑day management in complex enterprise and multi‑forest environments.
* Proven experience delivering Exchange migrations, including cross‑forest, legacy Exchange and Exchange Online migrations.
* Advanced troubleshooting skills across mail flow, mail gateways and on‑premises/cloud connectivity.
* Strong background in Windows Server fundamentals, including Active Directory, DNS, DFS and Group Policy (including AGPM).
* Demonstrated experience working within Australian Government cyber security frameworks, including ISM, Essential Eight and ACSC guidance.
* Strong technical writing capability, producing clear, accurate and maintainable documentation.
Desirable
* Experience with Enterprise Vault (Arctera), Microsoft Purview Information Protection and Microsoft Intune (MDM and policy).
* Broader experience across Microsoft 365 services, including Teams and identity‑integrated collaboration tools.
