JOB SUMMARYThe Facilities Manager is responsible for overseeing both soft and hard facility services, ensuring the seamless operation and maintenance of a company’s physical environment and assets. This includes managing maintenance, safety and security, cleanliness, and overall functionality. In addition, the role involves cultivating strong relationships with both internal and external stakeholders.Duties and ResponsibilitiesFacility MaintenanceDevelop and implement maintenance plans for buildings and groundsOversee routine and preventive maintenance for HVAC, plumbing, electrical systems, and other critical infrastructureCoordinate repairs and renovations with contractors and service providersSupervise cleaning, overall upkeep and security and safety of the facilitiesSafety and SecurityEnsure compliance with local, regional, and national regulations, including health and safety standardsConduct regular inspections to identify and resolve safety hazardsManage fire safety systems, including alarms and sprinklers, and ensure regular testing and maintenanceEstablish safety programs and initiatives including protocols for accidents and incidents and its relevant reporting and documentationsLeads the security team including protocols and SOPsBudget ManagementPrepare and manage the facilities budget, including forecasting and cost controlAnalyze spending and identify areas for cost savingsOversee procurement of supplies and services within budget constraintsVendor ManagementSource, negotiate, and manage contracts with external vendors and service providersMonitor vendor performance to ensure service levels meet organizational standardsManages billing and payment issues related to facilities servicesSpace ManagementPlan and coordinate office space utilization and layout changesManage space allocation for departments and employees including storage facilitiesOversee the setup of new workspaces and the reconfiguration of existing onesEmergency ResponseDevelop and implement emergency preparedness and response plansCoordinate responses to facility-related emergencies and incidentsEnsure the availability and maintenance of emergency equipmentSustainability InitiativesPromote and implement energy-efficient practices and sustainability initiativesMonitor and report on energy consumption and waste managementStaff ManagementSupervise and train facilities staff and contractorsConduct performance evaluations and address any staff issuesSkillset alignment and flexibility to support on other service facetsCustomer ServiceServe as the primary contact for internal and external facility-related inquiriesAddress and resolve facility-related issues and complaints promptlyProvides proper escalations and facilitation of customer requestsAdministrative DutiesMaintain accurate records of maintenance activities, repairs, and inventoryPrepare reports and documentation as requiredEnsures inter-department coordination and supportProficient with the latest industry practices, standards and regulations including any amendmentsAssuring completion and up-to-date certifications and permitsJOB SPECIFICATIONSBachelor’s degree in Facilities Management, Business Administration, Engineering, or related fieldMinimum of 5 years of experience in facilities management or a related field, with at least 2 years in a supervisory roleStrong knowledge of building systems, including HVAC, plumbing, electrical, and securityProficiency in facilities management standards, software and toolsProven expertise in safety and environmental governanceExcellent organizational, project management, and problem-solving skillsStrong communication and interpersonal skillsAbility to manage multiple priorities and work under pressureClear understanding of facility-related laws and regulationsProactive programs and initiatives on facilities managementHigh quality reports on maintenance, repairs, safety and other occurrencesAdvance skill level in managing emergencies and crises effectivelyThe following are a plus:Facility Manager (CFM)Facility Management Professional (FMP)Certificate in Facility ManagementSafety Officer 2 (SO2) or above including certifications i.e. OSHA, EPA, etc.Pollution Control Officer (PCO)About MHI Investment Holdings Inc.MHI is a trusted service provider with deep experience in client-services through its various operating businesses and a track record of long-standing relationships with global blue-chip clients.Founded in 1997, MHI expanded from ground handling support and became a one-stop-shop for both carriers and passengers across major airports in the Philippines.
