This highly respected industry leader is seeking a dynamic Operations Coordinator to join their close-knit team.
Responsibilities
- Assist the Service and Project management team in the delivery of all service calls with the correct administrative requirements and compliance, including safety, quality, contractual responsibilities, subcontractors, company procedures, financial controls and employee relations.
- Assist in the creation of job numbers in the financial system, raising invoices & purchase orders and any other administrative task associated with the projects team.
- Submission of invoices and variation claims, ensuring timely approval of variations.
- Oversight and coordination of all inbound and outbound project-related stock control and associated record keeping.
- Provide Administrative support to the Service Manager.
- Undertake tasks as allocated with minimal supervision, and work to deadlines as required.
- Ensure the confidentiality of information to which the position may be privy is maintained.
- Maintain booking and dispatching of technicians and jobs.
- Issue and maintain company assets and the associated documentation.
- Assist with the arrangement of meetings and the provision of any required documentation or amenities.
- Check arrival of all ordered stock and advise Managers accordingly as applicable.
- Prepare and/or review correspondence, reports, charts, spreadsheets and other related documents.
- Gather, enter and/or update data to maintain records.
- Assist with the onboarding of current contractors and employees and conduct inductions.
- Support a range of additional tasks as required.
Qualifications
- Minimum of 2–3 years of solid operational experience, supporting a team in a fast-paced environment.
- A desire to grow professionally.
- Extremely strong MS Office skills.
- Very strong attention to detail, high level of accuracy and diplomacy.
- Ability to multitask and read situations well; nothing is too big or too small to handle.
- Excellent communication and organisational skills.
